Ive been ordering bulk supplies for my office in Seattle for years using my Prime account, but now my team wants to chip in on a massive 2k order for the next quarter. Managing the split costs via Venmo is becoming a total nightmare. Is there a better way to track this without manual spreadsheets?

Been thinking about your question. Just saw a post on Smartphone Board about this. I usually just use a shared virtual card for the team. It is honestly amazing!

I am in the exact same boat with my team here in Seattle, and it has been driving me up the wall for like six months now. Tracking these massive bulk orders manually is honestly a full time job I never asked for, and I still haven't found a clean way to keep everyone honest without pulling my hair out. Every time a new order hits, I dread the follow up messages about who paid what. If you happen to stumble onto a magic fix that actually works, please pass it along because I am completely out of ideas at this point. It is such a massive pain tbh.

If you want to move away from manual tracking, you should look into procurement software like Procurify or even Brex. For a team doing 2k quarterly orders, having a centralized platform where you can set spending limits and assign cost centers changes everything. It automates the approval workflow so you arent stuck chasing people for money after the fact. Basically, you issue individual virtual cards to your team members linked to one primary account. All the data hits a dashboard in real time, showing exactly who spent what on the Amazon order. It removes the need for Venmo completely since the transactions are logged at the source. If you need something simpler, check out Expensify because they handle receipt scanning pretty well too. It takes a little setup time, but once you define your approval rules, the system handles the heavy lifting for you.

Honestly, spreadsheets are a headache. I started using Splitwise to handle office expenses and its been solid. You just input the total from your Amazon invoice, set the group, and it tracks who owes what automatically. Keeps everything transparent and avoids those awkward Venmo disputes. It works well for my team, so definitely look into it if you want to keep your records clean.
